Full Job Description

We are seeking a Senior Executive Administrator for our client, a specialised energy company at the very cutting edge of the transition of businesses to renewable energy.

You will provide administrative and organisational support to the Senior Management Team and to assist in the coordination of activities related to the implementation and maintenance of ISO standards within the business. We are looking for a highly organised, motivated, and trustworthy individual who can work on own initiative in a fast-paced environment.

RESPONSIBILITIES

Provide an excellent and comprehensive administrative support to all teams.
Assist in the implementation process of ISO standards within the organisation. This includes understanding the requirements of relevant ISO standards (e.g., ISO 9001, ISO 14001, ISO45001, ISO 27001),
Acting as PA to senior management
Being the main point of contact for facilities/building management.
Managing local office supply procurement
Liaising with IT team to ensure smooth provision and operation of IT and equipment.
Organising events, meetings, and external guests
Providing support to HR with onboarding and offboarding employees and any other HR requirements
Assist with the update documents on internal CRM System
Collect and prepare information used for meetings such as agendas, briefing notes, and presentations.
Plan, organize and manage travel arrangements for the Team. Be the point of ontact for any administration.
Manage records ensuring effective and efficient filing systems.
Produce brand compliant proposals, presentations and report documentation using Word, PowerPoint, and Excel
Electronically signing documents for team members via DocuSign.
Assistance with event management for both internal and external events including Away Days, team lunches/training days as required.
Supporting internal/client meetings, greeting clients, booking rooms, and organising lunches
Assisting with incoming/outgoing post and couriers
Assist with general ad-hoc projects as and when required.

REQUIREMENTS

Proven experience in implementing and maintaining ISO standards within an organisation.
Strong understanding of ISO requirements and quality management principles.
5 years experience as an administrative assistant supporting senior management in a busy office environment.
Excellent working knowledge of Microsoft Office suite - Outlook, Excel, Word, PowerPoint, OneNote, SharePoint.
Excellent verbal, written and interpersonal communication skills.
Excellent organizational, multi-tasking skills and dedicated to completing projects in a timely manner.
The ability to work on your own initiative and be an integral part of a busy team.
Ability to effectively manage time, prioritize tasks and work within deadlines with little supervision.
Ability to take initiative and exercise good judgment, discretion, and confidentiality in all tasks.
Ability to work in a fast-paced environment.
