Title: Quality & Safety Management Systems Analyst Location: Dublin City Centre Terms: Full-time permanent, Office-based, Monday-Friday, normal hours Package: €35-50k + 23 days hold, Pension, insurance & share options A shipping Vessel Operator based in Dublin City Centre is seeking a Quality & Safety Management Systems Analyst. This is an administration role reporting to the Shipping Administration Manager, requiring excellent attention to detail and will support the administration of the QSHE & ISPS documentation systems as follows; Administer and maintain documentation related to the companys QSMS and ISPS (International Ship and Port Facility Security) systems. Prepare and distribute revisions and amendments to QSMS manuals. Maintain databases for manuals, accident/incident reports, audit reports, and Masters Reviews. Coordinate with vessel Masters to prepare internal and external audit schedules under the supervision of the Shipping Administration Engineer. Track and close audits, Flag State inspections, and Port State Control (PSC) inspections. Maintain records required under ISM (International Safety Management) and ISPS codes. Organize QSMS staff meetings and compile related reports. Assist during drills, simulations, and emergency situations as needed. Monitor and track invoices related to publications, class certifications, Flag State inspections, and Resolve Group services Minimum Requirements: Minimum of 2 years similar QSHE administration experience, ideally within the maritime industry (Deck cadet, 3rd and 2nd officers will be considered). Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and documentation management systems. Excellent organisational skills and attention to detail. Ability to learn quickly and adapt to new systems and procedures. Excellent communication skills with fluent English. Ability to work without restriction (Stamp 1G graduate visa holders will not be considered as will applicants requiring sponsorship). Under the Supervision of the site EHS Manager, assist and support the maintenance of an effective EHS management system that complies with legislative requirements, Abbott technical and management standards. **MAJOR RESPONSIBILITIES**
+ Provide day to day support for Occupational Health, safety and environmental department including database entry, metrics management, equipment calibrations, 5s, co-ordination of site occupational health and safety communication processes, site recognition processes and co-ordination of occupational health, safety and environmental related training activities.
+ Support implementation of continuous improvement actions that align with strategic focus and audit readiness.
+ Support standard work activities ensuring continuous compliance to Corporate and technical standard requirements.Identify and manage improvement activities as required.
+ Act as Abbott Clonmel representative at Abbott Ireland wellness forums.Oversee management and execution of wellness events on site including external reporting requirements.
+ Oversee and improve occupational health initiatives on site including the development of a framework for occupational health standard activities, the site ergonomic stretch programme, the site gym and fitness programme and the annual flu vaccination programme.
+ Co-ordinate environmental monitoring in line with the site monitoring plan.
+ Leverage technical expertise to collaborate with functional support teams providing advice and consultation on all occupational health, safety and environmental elements.
+ Support completion of area risk assessments in line with the site risk reduction programme.
**EDUCATION & COMPETENCIES**
+ National Framework of Qualifications (NFQ) level 6 qualification in a relevant discipline. Relevant work experience advantageous but not essential or an equivalent combination of education and workexperience.
+ Working knowledge and application of business concepts, procedures and practices. Will perform this job in a quality system environment.Failure to adequately perform tasks can result in noncompliance with governmental regulations.

Reporting to the Head of People & Culture, this key role will lead and develop the company’s OSHE management system across multiple sites.

Responsibilities include but are not limited to:

  • Lead and develop the company’s safety, health, and environmental management system.

  • Ensure all operations are compliant with relevant OSHE legislation, standards, and licenses.

  • Develop and enforce company-wide OSHE policies and procedures.

  • Conduct regular risk assessments, maintain the risk register, and implement corrective actions.

  • Proactively identify and implement safety and environmental improvement projects.

  • Lead investigations into incidents, accidents, and near-misses, developing strategies for prevention.

  • Deliver and manage safety and environmental training requirements, including toolbox talks.

  • Conduct internal audits and inspections to ensure compliance and identify improvement opportunities.

  • Maintain reporting on safety and environmental performance for management and regulators.

  • Oversee waste management, pollution control, sustainability, and CSRD initiatives.

  • Maintain emergency response plans and lead drills.

  • Ensure adequate stocks of PPE, first aid, and emergency equipment.

  • Support facility-related projects and other OSHE duties as required.

  • Bachelor's degree in Occupational Safety, Environmental Science, Engineering, or a related field.

  • Minimum of 3 years’ experience in a similar OSHE role, ideally in an aviation or MRO environment.

  • Train the Trainer or equivalent certification in safety training delivery.

  • Strong working knowledge of current OSHE legislation and best practices.

  • Proven ability to influence and lead safety culture initiatives across teams.

  • Strong analytical and problem-solving skills with a hands-on, proactive approach.

  • Excellent interpersonal, communication, and training skills.

  • High level of computer literacy, particularly in Microsoft Office.

  • Must be eligible to obtain an airside pass (5-year background check) and pass a pre-employment medical including drug screening.

  • Fluent in written and spoken English.

  • Must have full working rights in Ireland.
