We are recruiting, on behalf of a client, for an exciting Event Coordinator role in Dublin City. Working on a broad range of public events around the country.
Reporting to the Head of Events, as well as other senior members of the Event Management Unit (EMU), the successful candidate will be required to work alongside an existing team of event managers. The ability to work autonomously and without guidance is also required.
Role
The Event Coordinator will be responsible for:
End-to-End Event Management: Working with the EMU team and independently on the planning, logistics, and on-site execution of small, medium and large-scale public events.
Supplier Management: Strong communication with third-party suppliers, as well as effective briefing to ensure flawless event delivery.
Budget Accountability: Day to day responsibility for event budgets, diligently tracking expenditures to ensure optimal value on each event project.
Project Timeline Management: Manage day to day running of projects, in line with the overall project plan.
Work on you own initiative in accordance with the supervisor/managers instructions whilst being part of an effective larger team.
Apply excellent and effective interpersonal and communication skills, coupled with a professional, polite courteous manner when dealing with colleagues, management and the public.
Apply a positive flexible and proactive approach to work, allied with the ability to deliver and effective work presence.
Carry out all work in an efficient and safe manner, in accordance with the directions of the supervisor/manager, with regard to self, colleagues and members of the public through understanding, observance and application of health and safety requirements.
Co-operate with the operation of and introduction of new work practices and technology.
Requirements
A minimum of two years event management experience running live events.
3rd level degree ideally in Event Management or a related field is desirable, alternatively accredited 3rd level Cert/Diploma in Events.
Demonstrated passion and knowledge for executing and managing events.
Full Drivers License is required.
Valid Safe Pass and is also a distinct advantage.
Proficiency in oral and written english is essential for this role.

This is an opportunity to join our expanding professional conference organising company. We are a small, reactive organisation and you will need to like working on lots of different accounts. If you have the ability to work on your own initiative, are super organised, IT literate and an excellent communicator, then this position will suit you down to the ground. Duties include overseeing our delegate management systems, venue and supplier liaison and dealing with the many delegates enquires we receive on each conference.
KEY RESPONSIBILITIES
REGISTRATION & ABSTRACT MANAGEMENT SYSTEM
· Oversee our event system, EventsAIR
· Setup new registration and abstract management systems
· Create conference Apps
ACCOUNT MANAGEMENT
Support the Account Manager with the following:
· Follow-up to client requests regarding the programme, logistics etc
· Attend conference committee meetings as required
· Organise quotes and liaise with venues, hotels, caterers, tour operators etc.
· Design and coordinate programme of events
· Coordinate 'on the ground' arrangements: detailed itinerary planning, accommodation, transportation, social programmes, venue selection and exhibition planning
· Maintain high level of customer service and follow-through to ensure complete satisfaction
· Dealing directly with all delegate enquiries
· Assist in managing conferences/events onsite both nationally and internationally
**KEY NOTES**
Ø Excellent IT skills, experience with EventsAir would be an advantage

Key Responsibilities
Event Planning & Support
- Support the delivery of tournaments and corporate events, managing registration, scheduling, and equipment needs.
- Assist with ad hoc events such as awards nights, training days, and client hospitality.
Client & Guest Experience
- Coordinate large group travel including flights, transfers, accommodation, and VIP arrangements.
- Provide outstanding on-site guest support (registration, meet & greet, customer care).
- Deliver high-touch, luxury event experiences tailored to client needs.
Supplier & Partner Liaison
- Manage logistics including catering, signage, branded materials, and transport.
- Work closely with venues, suppliers, and hospitality partners to ensure flawless execution.
Operations & Administration
- Maintain event plans, timelines, budgets, and databases.
- Oversee event communications (invitations, itineraries, welcome packs).
- Handle post-event wrap-up: feedback, reports, and reconciliations.
On-Site Delivery
- Provide hands-on support during events (weekends/bank holidays may apply).
- Assist with set-up, break-down, and act as the go-to contact on-site.
Person Specification
Essential Experience & Skills
- 3+ years in an event coordinator role, ideally within sports, luxury hospitality, or travel.
- Proven success managing group travel logistics (20+ guests).
- Strong organisational skills with the ability to multitask under pressure.
- Excellent written and verbal communication skills.
- Confident in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Detail-oriented, professional, and customer-focused.
- Office-based in Dublin 12, with flexibility to travel during busy seasons.
