Based in MUH Emergency Department (ED ) which includes:
- Mercy Urgent Care Centre (MUCC )
- Acute Medical Assessment Unit (AMAU ), and
- Pre-Assessment Care Unit (PACS ).
Temporary Contract, Full Time Hours.
Grade IV
Principal Duties and Responsibilities:
- Assist with roster shifts for all ED, MUCC, AMAU and PACS clerical staff.
- Assist with submitting payroll for department's clerical staff to Wages Team.
- Ensuring up to date records are kept for staff in relation to all leave including annual leave, sick leave, parental leave, etc.
- Completing Back to Work Interviews and disciplinary conversations as required.
- iPMS Superuser trainer & iPMS merges.
- iPMS training and refresher training for department staff.
- Dealing with department billing issues and taking payment where required.
- Following up on invoicing queries with the Accounts Department, and arranging weekly money collections.
- Liaising with the Patient Accounts Office to follow up on Admissions/Private Health Insurance forms.
- Order office supplies for the department.
- Arranging regular maintenance checks for ED fax, photo copier and other office equipment.
- Assist with the pulling of ED X-ray reports.
- Hygiene audit committee Team Leader. Complete monthly Internal hygiene audit of the department.
- Full Registration/Discharge Process for patients, ensuring this is done in a timely and accurate fashion.
- Completion of HSE/Hospital/Department Reports as requested for hospital management.
- Locate files as requested, e.g. Freedom of Information (FOI) requests.
- Support a continuous improvement environment.
- Share responsibility for the supervisor phone with Line Manager & cover annual leave for the Grade 5 Supervisor.
- This role includes regular shifts in ED, MUCC, AMAU and PACS departments and the ability to complete all Clerical Officer Grade 3 responsibilities, such as registering/discharging patients, tracking files, answering phone queries, etc.
- Any other duties that may be assigned by the Line Manager.
Eligibility Criteria:
- Good leadership skills, previous people manager experience desirable.
- A minimum of three years administrative experience essential.
- Hold a relevant administration qualification and have achieved a high level of proficiency in same.
- Be very patient focused with an approved record of managing sensitive and confidential information.
- Have a comprehensive knowledge of administrative processes and IT skills (including Database and Excel) to assist in the delivery of a coordinated approach to patient care.
- Ability to build strong relationships with colleagues.
- Excellent organisational and planning skills.
- Ability to assess and improve processes.
- IPMS Experience Required.
