Role Overview
We are currently looking for a Personal Assistant (PA) to join our firm. The successful candidate will provide comprehensive administrative and secretarial support to our Partners and Associates, ensuring the efficient operation of daily activities. This position requires a professional who can manage a variety of responsibilities with precision and discretion, contributing to the firm's overall success.
Key Responsibilities
In this role, you will be responsible for:
- Provide executive-level administrative support to the Head of Department, Partner(s) and an allocation of additional fee earners, anticipating their needs in a timely fashion and enabling them to focus on key fee earning and management activity.
- Managing complex diaries, scheduling meetings, appointments and travel arrangements
- Preparing detailed travel and Business Development packs for business trips, as and when required, that include all necessary information to support the Partner(s)/Associate(s) whilst away - these packs should be tailored to the specific purpose of the trip and the clients or contacts involved
- Producing and amending high quality documentation from digital dictation and hand-written drafts, adhering to the William Fry house style
- Preparing court forms and pleadings as required
- Overseeing the billing process from start to finish
- Compiling Business Development documentation for new client meetings, including conducting research, compiling bios and gathering relevant company information
- Entering and reporting on Business Development data in our Interaction CRM system
- Managing emails, calendars, and contacts for the Partner(s)/Associate(s), prioritising and responding to emails whilst maintaining an organised contact database
- Accurately managing all filing, including both electronic and paper files, ensuring all documentation is filed accurately and promptly
- Providing general administrative support such as printing, posting, photocopying and scanning, ensuring all administrative duties are completed efficiently and to a high standard
- Ad hoc duties as and when required by the Partner(s)/Associate(s) within assigned allocation
The Person
- You have a minimum of 5 years' experience as a Legal PA/Secretary supporting senior staff
- You have a background and interest in Litigation
- You have advanced working knowledge of MS Word, Outlook, Excel & PowerPoint
- You have experience working with document management, billing and digital dication systems
- You have the ability to efficiently re-prioritise tasks, as and when required
- You have a flexible approach to your work and can effectively prioritise tasks in order of importance
- You always act in a discreet/confidential manner
- You can demonstrate a team focus and willingness and flexibility to assist others when required
- You are eager to learn/develop skills and knowledge to continually improve
