Fiacla Dental Clinic is modern, purpose-built dental clinic, in a newly renovated location in Churchtown, Dublin 14. Our clinic is spacious, light and airy, and fully-digital to provide high quality dental care in a soothing, relaxed environment. At Fiacla Dental Clinic, our aim is to provide dentistry in a calm atmosphere, built on a foundation of trust and care.
We are seeking a detail-oriented and organized individual to provide administrative support for our small dental practice, Mon to Fri, 8:15am to 11:15am. The role will be mostly remote, but the ideal candidate would be based in Dublin for periodic meetings or training in person at our clinic.
The role involves managing various daily administrative tasks to ensure smooth operations and excellent patient care. We pride ourselves on providing a personal, caring touch with our patients, following up on any queries or concerns, and ensuring they feel listened to and looked after well.
Dental experience is a bonus, but not essential. Healthcare or aesthetics/beauty reception experience required, with a very solid working knowledge of Google suite and Microsoft Office required. Aptitude to pickup effective working knowledge of our cloud-based practice management software expected. Fluent English speaker required, at least C1 level.
Areas of responsibility will include:
Appointment Scheduling & Calendar Management: confirm and manage patient appointments, cancellations, rescheduling and ensuring follow up appointments have been booked, managing our waiting list, arranging deposits, replying to enquiry emails
Patient Onboarding: registering new patients, medical history forms, deposits, ensuring any questions or concerns are looked after in advance of their first visit, verifying patient details from online bookings
Insurance/PRSI support: eligibility checks, recording data in patient charts, ensuring always up to date.
Referrals and Reports: coordinating specialist referrals and reports, ensuring follow up steps have bene arranged, saving reports, updating patient charts
Patient After Care: ensuring patient have received any follow up details/care needed, checking prescriptions and referrals have been sent, keeping patients on track with treatment plans
Data Handling: ensuring sensitive and personal patient information is handled in line with protocols, GDPR and other requirements, keeping all workflows secure.

Pay: €14.00-€16.00 per hour
