The successful candidate will be responsible for managing the planning of our transportation operations, providing excellent customer service, and ensuring full compliance with regulatory bodies and requirements including HSA, RSA and Department of Agriculture. Reporting to the Transport Manager who in turn reports to the Operations Manager. This position has a key operational role which contributes to the development and implementation of the company's Values, Policies and Services. Understanding these are key to maintaining and improving the overall performance of the company. Main Duties and Responsibilities: * Full responsibility for the preparation of the daily transport plan for specific customer groups and/or geographical areas in conjunction with other planners. * Ensuring that the daily plan is checked for accuracy and is planned to achieve the best possible efficiencies in terms of driver, truck and equipment routing. * Working with other planners on any daily planning matters relating to sharing resources and/or routing of trucks, trailers or other equipment. * Liaise with all Transport Administrators to ensure high quality customer service including but not limited to ensuring clear and accurate communications to customers, timely reporting and paperwork returns. * Ensure clear and accurate communication with drivers with daily instructions and other relevant information. * Ensure that any discrepancies or required changes to job notes or instructions are raised with the Administrators and rectified. * Monitor driver's working hours to ensure balanced workdays and work weeks. Review hours worked each Thursday morning with a view balancing hours for the remainder of the week. * Provide input on driver leave requests to ensure adequate number of drivers available at key periods. * Provide support to the Transport Administration Team, as required. * Ensure other specific instructions (such as site audits) and communications are issued to drivers in a timely fashion. * Escalate any planning related matters to the Transport Manager/Operations Manager in a timely manner. * Escalate any Health & Safety, HR related matters to the Transport Manager/SHEQ Manager in a timely manner. * Strive for continuous improvement, efficiency and streamlining planning operations. * Work with the Transport Manager/ Operations Manager to identify Key Performance Matrix for planning operations. This role holds the overall responsibility for managing School Transport Services across the Southern Region in both Waterford and Cork ensuring the safe, timely, and efficient delivery of school bus services in accordance with the School Transport Schemes policy. This position is pivotal in ensuring that all school transport policies and procedures are effectively implemented and adhered to. As a key member of the School Transport Senior Management Team, the role reports directly to the Chief Schools Officer and oversees the safe operation and efficient administration of the School Transport Offices in Waterford and Cork. You will possess demonstrated management experience, particularly within the transport sector and in leading teams, alongside comprehensive knowledge of legislation related to road passenger transport and the School Transport Scheme. Overview of Responsibilities: Provide safe, timely, and efficient school bus services in line with Department of Education & Youth (DEY) policies and School Transport Schemes. Coordinate with Department of Education & Youth (DEY) and Chief Schools Officer on implementing recommendations from the "School Transport 2030" review. Plan, schedule, and monitor resources to optimise bus and driver utilisation. Ensure all school buses pass required roadworthiness tests, in collaboration with the Regional Engineer. Recruitment of school bus drivers ensuring high standards and apply HR policies at all times. Oversee ongoing training, vetting, and record-keeping for all drivers and contractors. Manage contractor relationships, verify documentation, and ensure vehicle safety and roadworthiness while liaising with the Engineering Department. Ensure FTA checks conducted on min 12.5 % of all fleet. Management of Procurement & Tendering process within the region in line with procedures set out by the Central Procurement Office. Ensure that the School Transport Office submits all relevant reports as required to Central Schools/CSO and DOE Oversee regional school transport offices and staff, supporting and training Office Managers in Cork and Waterford. Manage disciplinary matters and ensure GPS compliance. Ensure compliance with all GDPR policies and legislation and ensure all staff are trained in this area Engage with stakeholders, i.e. Schools Personnel, Escorts/SENO/ Local Authorities/Member of the Oireachtas to ensure safe, efficient service.
