Travel Co-Ordinator
to join their Dublin office and manage travel arrangements for staffacross multiple European project sites.
Key Responsibilities
- Act as the main point of contact for all travel requests and arrangements across the organisation
- Coordinate flights, hotels, car rentals, and transfers for employees and executives, ensuring schedules are followed
- Manage the travel inbox, prioritise requests, and forward queries to the appropriate teams
- Maintain clear communication between head office, project sites, and approvers
- Collaborate with the Finance team to reconcile travel expenses and maintain accurate records
- Ensure travel plans comply with company policy and international regulations
- Liaise with travel agencies to ensure high service standards and resolve any issues
- Support administrative tasks including invoice processing, contract setup, and documentation
- Prepare reports and provide updates on travel activity to management

Purpose of the role
You will serve as the primary point of contact for internal J&J staff, healthcare professionals and the Travel Agency staff, providing timely and clear information regarding travel logistics to conferences. You will ensure each event has all relevant approvals and compliance tasks completed. You will maintain meticulous records and documentation related to travel plans, ensuring all details are accurately collected and easily accessible. You will need to address any issues or changes that may arise during the travel planning process, ensuring a smooth and stress-free experience for all involved.
Ad-hoc office administration duties will also form part of this role.
What To Expect
Achieve agreed objectives and sales targets as outlined in the annual performance cycle.
Develop catheter utilization and capital sales in Electrophysiology to gain market share and to achieve sales targets aligned with the Business Plan.
Develop and deliver entrepreneurship enabling market share gains by differentiating from the competition.
Execute on key EMEA Marketing strategies to include the successful roll out of new products and innovations.
Maintain and develop firm business and clinical relationships with strategically meaningful clinical and economic partners.
Develop in depth understanding of the needs and objectives of customers on all levels - both non-clinical and clinical partners, to develop tailored solutions, which improve sales and sales potential for J&J Med Tech Electrophysiology.
Responsible to ensure local pricing is in-line with agreed national pricing strategies as well as ongoing management of tenders throughout their life cycle.
Maintain knowledge of the Electrophysiology marketplace including competitor's products and strategies
Who Will You Be Working With
Reporting to the medical director, you will work closely with the following people:
The medical affairs team which consists of 7 medical advisors
The external agencies are tasked with booking the travel, accommodation, meals, registration etc. of the healthcare professionals travelling with J&J
Other administrative staff particularly in the medical department
External Suppliers; (e.g. Meeting venues, restaurants, printers)
